This privacy policy describes how Kain Carlson ("we," "us," or "our") collects, uses, and protects information gathered through kaincarlson.com (the "Site"). By using the Site, you agree to the practices described here.

1. Information We Collect

We collect information you provide voluntarily, such as your name, email address, phone number, and any details you include in a quote request or contact form submission. We do not collect payment information through this Site.

Until October 2026 this site offered a two-minute read about your coverage. If you took it, the answers you selected, together with the name, email, company, and optional phone number you entered, were used to build your read, deliver it to you by email, and follow up with a call about what you told us. We no longer offer that read and we no longer collect anything through it. We still hold the submissions we received. Those details are kept in the system we use to work with prospects and clients, and we may contact you about your insurance by phone and by email, as we do with other prospects and clients. To stop our emails, reply to any email from us and say so, or use the opt-out link where the email has one. To stop all contact, tell us by reply, by phone, or in writing. Your details reach us when the read finishes, so if you leave before it appears, they do not. Nothing is sent to you automatically: the read is prepared and a person reviews it before it goes.

If you tell us what you do for work and who you work for, which are both optional, we use that only to get ready for the call. It never appears in your read.

While that read was available we recorded how it was being used: that a session started, which option you chose on each question, how long each question took to answer, that the read finished, and which button you pressed at the end. We used this to find the questions that were confusing or not worth asking. We no longer record any of it. We still hold the records from the period when the read was live. They are tied to a session identifier, and where someone entered their details at the halfway point they are also tied to that submission.

If you leave the read before entering any contact details, the answers you selected are still recorded, without your name or any contact information, together with a session identifier and the network address the request came from. We use them to understand how the read is used and to guard against abuse. They are not used to identify you or to contact you.

We do not use any third-party analytics or advertising service. There is no Google Analytics, no advertising pixel, and no cross-site tracking on this Site. Our hosting provider records standard web server information, including your IP address, browser type, and the page that referred you. We use your IP address to limit abuse of our forms rather than to build a profile of you.

2. How We Use Your Information

Information you submit through the Site is used to respond to your inquiry, provide a quote, follow up with you, and, if you become a prospect or client, work with you on your insurance. We do not sell, rent, or share your personal information with third parties for their marketing purposes.

We may use your contact information to send you information relevant to your insurance coverage, such as renewal reminders, policy updates, or market changes that affect your coverage. You may opt out of marketing communications at any time. If we handle coverage for you, we will still send what is required to service it.

We keep what you submit for as long as it remains relevant to responding to you or to meeting legal record requirements. Two kinds of record are kept permanently and on purpose. Records of contact preferences, such as a request not to be emailed or called, are kept so they can always be honored, and deleting one would destroy the proof that we honored it. Records of how the Site was used, such as the read measurements described above, are written to a log that cannot be edited or deleted, because it is also the record of what we did and when. If you ask us to delete your information, we will remove your personal details and stop using them, and we will tell you plainly what we cannot remove and why.

If you ask for a guide or sign up for the occasional note, we send a confirmation email first and act only when you click the link in it. We keep a record of what you asked for, the wording you saw, and the date, time, and internet address of the request and of the confirmation, so we can show that you asked. Every note carries a one-click stop; a stop is recorded permanently and honored immediately. Requests that are never confirmed are deleted after thirty days.

3. Third-Party Services

The Site relies on a small set of service providers to operate: Vercel hosts the Site, Supabase provides the database where form and quiz submissions are stored, Resend delivers the email the Site sends, Cal.com provides scheduling, and Twilio carries phone calls when we call a number you gave us. Each processes information only to provide its service, and each has its own privacy policy. Any artificial intelligence we use to prepare for a conversation runs on our own hardware in our own office, so your information is not sent to an outside AI service. The Site does not run advertising trackers. We do not control these services and are not responsible for their privacy practices.

Links to third-party websites (such as carrier portals or Employee Navigator) are provided for convenience only. We are not responsible for the privacy practices or content of those sites.

4. Cookies and Browser Storage

This Site does not use cookies for advertising or analytics. If you sign in to the client portal, we set cookies that keep you signed in, which the portal cannot work without. The Site also stores your display preferences, such as light or dark mode, in your browser so the Site looks the same when you come back. That preference stays on your device and is not sent to us.

The scheduling page loads a booking tool provided by Cal.com. When that page opens, Cal.com receives your IP address and browser information directly and may set its own cookies, whether or not you book a time. Cal.com's privacy policy governs what it does with that.

5. Data Security

We take reasonable steps to protect information you submit through the Site. However, no transmission over the internet is completely secure, and we cannot guarantee absolute security. Do not submit highly sensitive information (such as Social Security numbers, financial account details, or health and medical information) through the Site's forms.

6. Children's Privacy

This Site is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through this Site, please contact us. We will delete the personal details promptly and suppress any contact, and we will tell you what remains in our unchangeable activity log and why.

7. Changes to This Policy

We may update this privacy policy from time to time. When we do, we will revise the "last updated" date above. Continued use of the Site after any changes constitutes acceptance of the revised policy.
